Create an Experience as a Base Partner

Get started on creating your first experience listing! This guide covers each feature and step to help you set up a successful experience.

Access the experience builder

Click Add experience in the top right corner of the Home page.

You will be brought into the experience builder where you can begin to enter all of the information for your experience.

Overview of the experience builder

Welcome to the experience editor! It's divided into two main panes:

  1. Navigation to the left, where you can view all of the steps and move between sections. A green circle with a checkmark is required to move forward. A black progress wheel means more information is required.

  2. Content to the right, where you can enter all text, media, and information for your experience.

You must complete the entire Setup tab before being able to move between the other sections.

Setup

The Setup section initializes the experience and must be completed in entirety in order to unlock and move between the other sections. Let's take a look at each of the fields within the Setup section below.

Set up features in further detail:

Experience title

Enter an engaging title for your experience.

A great name should be both descriptive and inviting. A few tips: shorter titles are more effective, only capitalize the first word, and make sure the title clearly conveys what the experience offers. The clearer and more reflective it is, the more it will resonate with potential guests.

The title must be less than 180 characters and will also be used as the custom URL for the experience listing page.

Where your experience appears

Base Partners share experiences with Core Partners through Partner Exchange. Each Core Partner reviews and publishes the experience on their own website.

Duration

Enter the duration for the experience. The duration will be displayed to the guest on the booking script and will be used for availability management.

Auto unpublish

Leverage Auto unpublish in order to schedule a specific date & time in which you would like your experience listing to automatically be removed from being available online to book.

  1. Toggle the element on

  2. Select the date

  3. Select the time

Ideal for one-time or seasonal offerings when you know in advance the date you'd like the listing to be removed from guest view.

Location

The location section is broken down into two fields.

  1. Address - Enter the meeting point address of the experience. This inputs pulls from Google Maps, so you can either enter a point of interest or a full address.

  2. Location note - Enter additional details that can help participants locate or prepare for their arrival, meeting distance from hotel, parking notes, for example.

These fields will appear in both the confirmation email sent upon booking and the reminder email sent to the guest 2 hours before the experience begins.

Once the tab displays a green circle with a checkmark, indicating that all required fields are completed, you may proceed to the next section.

Capacity & price

The Capacity & price section houses the majority of the logic for the experience.

Let's take a look at each of the fields within the Setup section below.

Capacity & price features in further detail:

Capacity

The capacity section contains two inputs, each are outlined and explained below.

  1. Max experience size sets the maximum number of attendees per session that the experience can support. For example, let's say a yoga class can accommodate 8 people, you would enter 8 into this field. Way will automatically close reservations if the maximum capacity for the session has been reached.

  2. Max group sets the maximum number of attendees that can register at once.

How capacity appears guest-facing:

Capacity is initially set on a per experience basis, but can be overridden on a per session basis if needed.

Pricing

Experiences in Way can have a single price, multiple prices, or no prices at all. Let's take a look into each configuration below.

Single price:
Simply set a single, per person price for the experience.

Multiple prices:
An experience can have multiple prices or pricing tiers. Guests will be able to select which tier they would like to purchase and will be charged accordingly.

  • Examples include: Adult vs. Child pricing, Class only vs. Class & wellness beverage pricing

No price:
Keep both the Individual and Private pricing toggle off to create an experience without a price. This is great for when you wish to capture registration but the experience is complimentary.

Customize the pricing label displayed to the guest for further clarity (Ticket, Attendee, Person)

Experiences with a price of $0 will be displayed as Complimentary to the guest.

Private pricing (only allowed when offering one pricing tier):

This tool will calculate the amount in the individual pricing field and multiple by Max experience size to determine private pricing.

Dynamic pricing

Dynamic pricing is extremely flexible and enables an experience to have different pricing, capacity, and/or tiers if certain conditions are met.

Great for weekend vs weekday pricing, holiday rates, or even just one off customizations!

Check out our guide here!

Taxes & fees

Base Partners can add taxes and fees under Capacity & price > Taxes & Fees. Coordinate the setup with the Core Partner distributing your experience.

Let's take a look at each of the fields within the Experience info section below.

Booking cutoff

Way offers various booking cutoff options to suit your experience needs. Selecting one of these options will end registration for the chosen date and time, with past availability automatically removed. Here’s a breakdown of each option:

1) When experience starts
The default option. Registration will end as soon as the session starts. For example, if an experience has a start time of 9am, registration will end at 9am.

  • Create and associate specific questions on a per experience basis

  • Add conditional logic (i.e, if the guest selects A, ask B)

  • Collect & view guest responses within your dashboard

By default we collect the full name of each participant and email address of the purchaser on all subscriptions.
